How to integrate your Asana and Slack accounts

Slack and Asana are two of our favorite apps. They’ve simplified and streamlined much of our own work and continue to add value for our clients too. Let’s dive into a few ways Slack and Asana integrate to increase productivity and improve communication.

Connecting your Asana and Slack accounts

Adding Asana to your Slack environment is as easy: navigate to the Apps section of Slack and search for Asana. Connect by logging in as you normally would. In some scenarios, you may need approval from your Slack administrator.

Create a task

Our favorite use of this integration is converting any message into a task using the more options [three dots] menu next to a message and selecting Create a task. This gives you a quick dialogue box  to add details. It  also adds a link back to the exact message if you or a teammate need further context. This ensures conversations become actionable and that the work ultimately gets done.

Another great use is adding a message as a comment on an existing task. Simply select Add as task comment from the more options menu, search for the relevant task, and add a little context. Slack will add your comment to that task with a link back to the original discussion.

Configure your integration

Once you connect Asana in Slack,  you’ll start to get of notifications on tasks you follow. We highly recommend updating your settings:

  • Type /asana settings and turn off your notifications – Using the Asana App, My Tasks, and Inbox eliminates the need for these notifications

  • Type /asana help to see a list of what’s possible

Connect your Slack account with your Asana account

Sometimes not everyone in your team’s Slack space is in Asana, or maybe you want to quickly communicate the most important moments in an Asana project to your team and leadership. Rules in Asana allow us to create meaningful and timely notifications in Slack.

Send a message to a Channel

Here are two ways to inform your team of important updates in a project::

  • When a task is overdue › Send a message notifying the team

  • When a new task is added to a project › send a message

Send a direct message

If a specific person needs to know something at just the right moment, use rules with more advanced triggers to notify the right person:

  • When a task moves to a specific section and is high priority › notify your teammate

Pro Tip

There is a balance between getting enough information  through notifications and being totally overwhelmed by those notifications. Choose your most important moments to create impactful updates  while building a team culture where everyone is regularly using Asana’s Inbox for everything else.

Connect Asana and Slack with Zapier

A lot of the out-of-the-box integrations are more than adequate for many of your team’s everyday needs. There are situations where we may need a deeper integration with more control and access to more data in either app’s environment. That’s where Zapier comes in.

Creating meaningful notifications

In your Zapier account, add a connection for both Slack and Asana; then, get started on creating your Zaps. Here are two simple, but powerful examples:

  • When a new project is created › send a message in Slack – This ensures your team knows when new projects are created so they can join. It also minimizes the chance of duplicative efforts.

  • When a new team is created › send a message in Slack – Notify your admins when a new team is created to ensure your Asana environment meets your conventions.

  • When a milestone is completed › send a message in Slack – Know when inflection points in a project are completed

Pro Tip

Zapier’s triggers and actions for both Slack and Asana have a near unlimited range of possibilities. Look for opportunities that are universal and do not require constant setup and maintenance of Zaps. If you can’t, duplicate existing Zaps to speed up setup.
